ClusterHR may collect the following information when employees use the application. This information is provided by the employer organization that uses the ClusterHR system.

  • Employee name

  • Employee ID
  • Department or organization information

B. Attendance and Work Information

The application records information related to employee attendance and HR activities including:

  • Check-in and check-out time
  • Leave requests
  • Attendance records
  • Work-related activity logs

C. Location Information

ClusterHR may collect precise location data when employees mark attendance (check-in or check-out) through the mobile application. Location information is used only for:

  • Verifying the employee's presence at an approved workplace location
  • Enforcing geo-fencing attendance policies configured by the employer organization

ClusterHR does not continuously track location, and location is collected only during attendance actions such as check-in or check-out.

D. Device Information

The application may collect limited device information such as:

  • Device model
  • Operating system version
  • Application version
  • Device identifiers necessary for security and login management

Privacy Policy – Face Data and Selfie Images

Collection of Selfie Images

ClusterHR captures a selfie photograph when an employee records attendance through the mobile application (Check-In or Check-Out). The selfie photograph is collected solely as visual proof of attendance.

ClusterHR does not:

  • Perform facial recognition
  • Perform biometric authentication or identification
  • Analyze facial features
  • Generate or store facial templates or biometric identifiers
  • Use face data for advertising, marketing, profiling, or analytics

Purpose of Collection

Selfie photographs are collected only to:

  • Record attendance with visual proof
  • Allow authorized HR personnel and administrators to verify attendance records
  • Prevent misuse of attendance records

The collected selfie images are not used for any other purpose.

Storage and Security

Selfie photographs are transmitted securely using encrypted HTTPS connections. The images are stored on secure cloud servers operated by Amazon Web Services (AWS) as part of the employee's attendance records. Access to these images is restricted to authorized personnel of the employer organization and authorized system administrators where necessary for system maintenance.

Sharing of Face Data

ClusterHR does not sell, rent, or share selfie photographs with third parties. Selfie photographs are used exclusively within the employer organization's HRMS account for attendance management.

Data Retention

Selfie photographs are retained only for as long as necessary to manage attendance records or in accordance with the employer organization's data retention policy.

Data Deletion

When an attendance record or employee record is permanently deleted, the associated selfie photographs are permanently removed from our systems in accordance with our data deletion procedures.

User Consent

By using the attendance feature, employees acknowledge that a selfie photograph will be captured and stored solely for attendance verification purposes as described in this Privacy Policy.

Additional Privacy Policy Statement

If you use the attendance feature, the application captures a selfie photograph at the time of Check-In and Check-Out. The selfie is used only as visual proof of attendance and is processed in accordance with this Privacy Policy.
